A useful content brief is not simply a keyword list or a long set of instructions. It is a shared description of the reader's need, the purpose of the page, and the information that will help the page fulfil that purpose.

1. Define the reader and their question

Be specific about who the page is for and what they are trying to accomplish. “Small business owners” is a starting point; “a solo business owner choosing a first email platform” gives the writer a clearer situation to address.

2. State the job of the page

Decide whether the page should explain a concept, guide a task, compare options, or help someone make a decision. This goal should influence the structure and examples.

3. Identify evidence and first-hand insight

List reliable sources to review, subject-matter experts to consult, product details to verify, or first-hand testing that would make the page more useful. Do not treat an outline as a substitute for research.

4. Offer a flexible outline

Suggest the major questions and sections the page should cover, but leave room for the writer to organize the explanation logically. A strong outline follows the reader's journey rather than repeating the same point in different headings.

5. Define quality checks

  • Does the page answer the main question early?
  • Are claims accurate and appropriately supported?
  • Does it include practical examples or original insight?
  • Are the steps complete enough for the intended reader?
  • Is any section repetitive or unnecessary?
  • Can a reader understand the page without needing unexplained jargon?

6. Review the brief after research

Research may reveal that the original topic is too broad, the audience has a different question, or a more useful angle exists. Update the brief rather than forcing the final page into an outdated plan.

A brief improves coordination, but it cannot guarantee that the resulting content is accurate or useful. The writer and editor still need to apply judgement, verify details, and consider the reader's actual needs.
